5.2.3. Closing meeting preparation
At the end of the visit, the visitor team holds a meeting in order to review the information obtained during the visit and to prepare the draft visit report containing the observations and recommendations for improvement (see IDIV/02).
5.2.4. Closing meeting with the visitee
A closing meeting is held with the visitee's management. The purpose of this meeting is to present the draft visit report containing the observations and recommendations for improvement of the quality management system (see IDIV/02). A copy of the draft visit report is left on-site.
5.2.5. Visit Report
The visited YYYY is requested to send formal comments on the draft report to the visit co-ordinator within 2 weeks, after which the visit co-ordinator, in collaboration with Division IV, issues the final visit report within 2 weeks, and signs and dates the cover page. A copy is sent to the YYYY with acknowledgement of receipt.
If considered necessary, the visitors can prepare an extend after the end of the visit. In that case:
1 version of the draft report
The visitors send their respective extended part of the report to the visit team coordinator within 2 weeks.
The visit co-ordinator, in collaboration with Div IV, combines this documentation and issues the draft visit report within 2 weeks.
The draft report is sent to the YYYY with acknowledgement of receipt for formal comments to be sent to the visit co-ordinator within 2 weeks. At the same time, the draft report may also be sent to the visitors for formal comments to be sent to the visit co-ordinator within 2 weeks.
After receiving the comments, the visit co-ordinator, in collaboration with Division IV, issues the final visit report within 2 weeks, and signs and dates the cover page. A copy is sent to the YYYY with acknowledgement of receipt. |

5.2.3 Подготовка к заключительному собранию
В конце посещения, группа посетителей проводит собрание с целью обзора информации, полученной в ходе посещения, и подготовки предварительного отчета о посещении, в котором содержатся наблюдения и рекомендации по усовершенствованию (см. IDIV/02).
5.2.4 Заключительное собрание с представителями посещаемой организации
Заключительное собрание проводится с представителями руководства посещаемой организации. Целью такого собрания является представление предварительного отчета о посещении, в котором содержатся наблюдения и рекомендации по усовершенствованию системы управления качеством (см. IDIV/02). Копия предварительного отчета о посещении остается на объекте.
5.2.5 Отчет о посещении
В течение 2 недель посещенная OMCL должна предоставить координатору посещения официальные комментарии в отношении предварительного отчета о посещении, после чего в течение 2 недель координатор посещения при сотрудничестве с Подразделением IV издает окончательный отчет о посещении, подписывает и датирует титульный лист. Копия высылается OMCL с подтверждением получения.
Если посчитается необходимым, посетители могут подготовить расширенный вариант предварительного отчета после посещения. В таком случае:
- В течение 2 недель посетители высылают координатору посещающей группы свою соответствующую расширенную часть отчета.
- В течение 2 недель координатор посещения при сотрудничестве с Подразделением IV собирает данную документацию и издает предварительный отчет о посещении.
- Предварительный отчет с подтверждением получения высылается OMCL для официальных комментариев, которые должны быть высланы координатору посещения в течение 2 недель. В то же время предварительный отчет также может быть выслан посетителям для официальных комментариев, которые должны быть высланы координатору посещения в течение 2 недель.
